About the Role:
The Administrative Assistant provides essential clerical and administrative support to ensure the efficient operation of the department. This role involves a variety of tasks including document preparation, communication handling, financial recordkeeping, and coordination of special programs. The ideal candidate is organized, detail-oriented, and capable of managing multiple responsibilities in a dynamic environment.
Qualifications:
- High school diploma or equivalent required
- Associate’s degree preferred
- Any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities
Key Responsibilities:
- Uses various computer programs to draft/compose varied types of letters, memorandums, agendas, minutes, and reports following notes or oral instruction as guidance
- Receives emails, phone calls and walk-in visitors and provides basic information as needed
- Plans and coordinates special programs and activities as requested
- Screens, responds to, and/or distributes mail and email as appropriate
- Researches information as needed and requested
- Generates requisitions and purchases orders; maintains inventory
- Verifies invoices against purchase orders
- Maintains financial records and accepts responsibility for monitoring local, state, and federal allotments
- Compiles data and maintains files and records pertinent to state and federal program documentation
- Serves as backup to other departmental administrative assistants
- Completes other such tasks as assigned by supervisors
Physical and Cognitive Requirements:
- Ability to exert up to 20 pounds of force occasionally and a negligible amount frequently
- Proficient in reading, preparing, and understanding various forms, reports, and documentation
- Strong verbal and written communication skills
- Ability to apply logical thinking to solve problems and make decisions
- Comfortable working under stress and adapting to emergency situations
- Culturally sensitive and able to interact effectively with diverse individuals and groups
- Capable of operating a motor vehicle and various office equipment
